Guest photo collection for wedding planners

Offer guest photo collection as part of your planning package: one QR code on the tables, guests scan and upload without an app or account, and every photo and video lands in one album in original quality. This guide covers the setup, a wedding-day checklist and how the Planner plan works.

Why offer guest photo collection?

  • You solve a real problem for your couples. After the wedding, couples want the photos their guests took. If you arranged that before the day, they have those memories for years.
  • It is an extra source of income. Guest photo collection works well as an add-on to your planning package. You run it from your Planner account and decide what you charge.
  • It sets you apart. It is a visible, modern addition to your package, and couples understand its value straight away.

How collecting wedding photos with a QR code works

  1. Create an album for the wedding, with its own link, such as pixworthy.com/p/jansen-wedding.
  2. Download print-ready cards, posters or table tents with the QR code. Read how to set up a QR code for wedding photos.
  3. Guests scan the code with their normal camera app. Nothing to install and no account: the upload page opens in the browser in the album's language, and guests can switch between 7 languages themselves.
  4. With auto-upload on, photos and videos upload straight away in original quality, not compressed the way WhatsApp compresses them.
  5. Everything comes together in one album, with a live wall for a screen at the venue, a digital guestbook and a download of the complete album.

Wedding-day checklist

Use this checklist in the final week before the wedding.

  • Album created with the couple's names and the wedding date.
  • Print-ready QR cards, posters or table tents downloaded.
  • Cards, posters or tents placed on the tables, with the menu or on a welcome sign. Test one print at full size.
  • Test scan done with two different phones, an iPhone and an Android.
  • Decided whether the live wall is on, and if so, a screen or projector booked at the venue.
  • Moderation set: photos appear straight away, or only after approval.
  • MC or day coordinator briefed. One short announcement after the ceremony or dinner ("scan the QR code on your table") noticeably increases uploads, so put it in your run sheet.
  • A few spare printed QR cards in your kit, in case tables are added.

What the Planner plan includes

  • Unlimited weddings from one account, each with unlimited uploads.
  • Up to 5 GB per file, so long videos arrive in full.
  • Each album stays online for 365 days and can be extended.
  • Your branding on the guest pages, so it feels like your service.
  • Hand an album over to the couple when the wedding is done, while you keep co-host access.
  • Priority support.

What it costs and how you earn from it

The Planner plan is a monthly subscription plus a fee for each wedding you create, billed excluding VAT. It is for businesses only: you sign up with a Dutch KvK number or an EU VAT ID. There is no trial. The first 3 months are paid upfront, then you pay monthly.

The first planners to sign up get a founding price, fixed for 12 months. See the current prices on the Planner page.

You decide what you charge your couples. When you work out your margin, count the monthly subscription as well as the wedding fee, and remember that the price you quote a couple usually includes VAT while your Pixworthy costs are excluding VAT.

Questions

Do guests need an app or an account?

No. Guests scan the QR code with their camera app and upload in the browser. There is no app to download and no account to create.

What quality do the photos arrive in?

Original quality, exactly as the guest took them. Nothing is compressed.

Who can see the photos?

You choose per album: a shared gallery (everyone with the link sees all photos), private (guests see only their own uploads) or off. A password locks both uploading and viewing, and you can put the password in the QR code so guests do not have to type it. There are no ads.

How long does the album stay online?

Planner albums stay online for 365 days and can be extended.

Can guests leave a message?

Yes. The digital guestbook lets guests write a message. Messages stay private unless you show them on the live wall.

What if the venue Wi-Fi is poor?

With auto-upload on, uploads start as soon as guests select their photos and continue when the connection returns, so large videos still arrive.
